Logistics that feel like luxury · 2026 wedding season
A rooming list that survives contact with the guests
The document that is wrong within a day of being made, and how to stop that.
What it actually is
One live list, one owner, and a rule that hotels are sent a delta rather than a fresh version. Most rooming chaos comes from four versions of a spreadsheet on WhatsApp, not from the hotel.
We have not published a price here because we could not ground one honestly. Ask three vendors — an invented number would be worse than none.
When it works
- Anything over about forty rooms
- One person owns it and everyone else requests changes through them
- The hotel has a named contact who accepts changes in one channel
The part nobody else prints
How this goes wrong
The version that kills you is the one someone downloaded, edited and re-shared. Emailing an attachment creates a second source of truth, and from that moment nobody knows which is current.
Goes well with
- Airport pickups that do not go wrong Sixty guests, thirty flights, three days — and one spreadsheet that is already out of date. ₹1,200–3,000 per pickup
- Room-drop notes, written by hand The cheapest thing on this entire list and the one guests mention afterwards. ₹30–150 per room
- How many people it takes to chase 300 guests The arithmetic behind the guest desk your planner is quoting for. ₹800–1,200 per caller per day
Every idea here is easier than telling three hundred people about it.
You can book all of this and still spend the month chasing headcounts. That part is what we do — the invitations, the replies, the rooms, the arrivals, on WhatsApp, with a person making the first call and a person checking every count.
